EMERGENCY PREPAREDNESS

Emergencies, disasters, accidents, injuries and crimes can occur without warning at any time. Being physically and psychologically prepared to handle unexpected emergencies is an individual as well as an organizational responsibility. Further information about the safety and security of our campus can be found on the UM Emergency Management website at http://www.oseh.umich.edu/emergencymanagement.html.

This Emergency Procedures Flipchart has been developed to assist in minimizing the negative effects from such events. Please read this guide thoroughly before an emergency occurs, become acquainted with the contents, and post this flipchart in your office or lab for immediate reference.

WHAT YOU CAN DO TO PREPARE
  • Keep emergency supplies in your office or lab (personal medications, flashlights, comfortable shoes, bottled water, batteries, and portable radios).
  • Post this Emergency Procedures Flipchart in a visible location in your office/lab.
  • Become familiar with the quickest exit routes from your building.
  • Locate the nearest fire extinguisher and pull station, and schedule a fire extinguisher training course with OSEH.
  • Schedule crime prevention or other safety courses with DPS or OSEH.
IT SECURITY
WHAT IS AN “IT” SECURITY INCIDENT?

The types of incidents that you should report include:

  • Unauthorized exposure of private personal information (which may lead to identity theft or misrepresentation)
  • Computer break-ins and other unauthorized use of UM systems or data
  • Unauthorized changes to computers or software
  • Equipment theft or loss
  • Interference with the intended use of information technology resources

HOW TO REPORT AN IT SECURITY INCIDENT:
If an incident occurs, do NOT attempt any mitigating actions. Report it immediately to the unit security coordinator designated by your school, college or department or to your IT department. If you don’t know where to report an incident, contact security@umich.edu. If you believe a crime has been committed, also call DPS at (734)763-1131.

Please provide as much information as possible, including:
  • Your name
  • Department
  • E-mail address
  • Telephone number
  • Description of the IT security problem
    • Date and time the problem was first noticed (if possible)
    • Any other known resources affected

Reporting incidents will help mitigate their effects, minimize possible future attacks, and increase the University’s ability to quickly restore operations.

REDUCE YOUR RISK

You can reduce the risks and increase security by taking these steps to protect private personal information:

  • Use a strong password or pass-phrase. It should be at least nine characters and include a mixture of letters, numbers and symbols.
  • Be aware of the information with which you work and understand what could cause harm if in the wrong hands.
  • Assume responsibility for security of computer accounts, passwords and workstations.
  • Ensure that only appropriate persons have access to data under your control.
  • Securely delete or shred information that you no longer need. Visit safecomputing.umich.edu/privacymatters for more information.
  • Report suspected incidents to your local Information Technology security staff and/or management as soon as possible.
CRIME PREVENTION AND RESOURCES
TO REPORT A CRIME OR SUSPICIOUS BEHAVIOR:
  • From a University phone, call 911 for an emergency, or 3-1131 for a non-emergency
  • From a cell phone, call (734)763-1131
  • Or activate a blue-light emergency phone or telephone in an elevator or parking structure.
IF YOU OBSERVE A CRIME OR SUSPICIOUS BEHAVIOR:
  • Don’t attempt to apprehend the suspect.
  • Call DPS immediately. Don’t assume someone else will report the incident.
  • Give the location of the suspicious behavior, your name and location, and a description of the person.
PERSONAL SAFETY TIPS:
  • Look assertive and be aware of your surroundings.
  • Walk in groups or with a trusted co-worker or friend.
  • Keep your keys in your hand while walking to your vehicle.
OFFICE OR LABORATORY CRIME PREVENTION TIPS:
  • Don’t leave belongings unattended even for a few seconds.
  • Keep doors closed and locked when unattended.
  • Lock valuable items in a desk or file cabinet.
  • Attempt to limit access to lab areas of non-essential persons.
